JOB DESCRIPTION
– After Sales
- Proforma and final invoicing of all sales made in Cape Town gallery and assistance will
Art Fair invoicing - Liaising with clients with regards to invoicing, quotes for framing and freight, freight and
delivery logistics, and payment - Arranging client framing
- Management of delivery schedule for clients for Cape Town Gallery, and related processes
- Management of Cape Town debtors list
– Inventory Administration & Management
- Loading Inventory to Inventory System
- Management of images in Inventory System
- Warehouse Transfers & Control of Inventory Movement
- Location of Inventory Items in Store roomsCondition reports on artworks
- Correct wrapping and storage of artworks
- Stock Take Management
- Filing Delivery Notes, Appros, Loan & Consignment Forms, and Warehouse Transfers
- Stock Room Layout & Management
– Shipping Management and co-ordination
– Consign & Loan Out Management
- Management of all Consignment & Loan Outs of Inventory
- Filing of signed loan / consign forms
- Follow up on outstanding consignments, and management of returns of consigned and
loaded inventory
– Appro Management
- Oversight of all Appros of artworks to clients
- Filing of signed appros
- Follow up on outstanding appros (with sales staff)
- Managing procedure & ensuring that sales staff adhere to mapped procedure
– Process Management
- Compliance with mapped procedure
- Work Order & Purchase Orders (compliance)
- Ensure suppliers get Work Order numbers
- Ensure Warehouse process is followed in Filemaker
- Management of Process for signed delivery notes, appros, loans, and consigns
